For a fast growing international Biotech company we are looking to find the a Administrative Coördinator for development operations for their Belgium office.


As administrative coordinator development operations, you will execute operational tasks which are part of the core transactional processes in the outsourcing model of the company. By executing in a timely and compliant manner you’ll contribute to the successful execution of development projects across the whole development portfolio.

Principal accountabilities:

  • Support the business in order to make sure the purchasing processes are correctly and SOx (Sarbanes-Oxley Act) compliant executed.
  • Coordinate access management for current and future Development information systems
  • Coordinate archiving of development project documentation according to the relevant records retention policy.
  • Continuous improvement

Tasks include, but are not limited to:

  • Follow-up on contracting related to purchase orders;
  • Coordinate procurement for development in a SOx compliant manner (creation/amendment of purchase orders);
  • Follow-up of invoice management in close collaboration with Development and Finance representatives;
  • Coordinate and follow-up on the goods receipt process, follow-up on monthly deliverables of purchase orders.
  • Access management for e.g. planning tool, document management tool, SharePoint, etc.
  • Identify opportunities to improve transactional processes and other operational processes of the development business. Dependent on your experience you are gradually involved in improvement projects.

Decision making authority:

  • The administrative coordinator development operations can decide on pro-active and corrective actions required to achieve SOx compliant execution of core transactional processes and can decide on the approach to track and maintain oversight over activities under his/her responsibility.



  • Bachelor Degree


  • Substantial experience in a broad range of administrative support is required
  • Substantial experience in working with various computerised business tools is required
  • Experience in working within a matrix organisation is an asset

General Skills:

  • Fluent in English, both in speaking as in writing. Knowledge on other languages (Dutch, French, …) are an asset.
  • Knowledge on working with business office tools, i.e. MS Office, Sharepoint
  • Knowledge on project management tools
  • Knowledge on working with an ERP application
  • Potential to grow towards process manager for transactional improvement project

Communication Skills:

  • Excellent communication skills both towards staff of various divisions and departments within the company as towards external contacts (e.g. contractors and consultants)


The administrative coordinator development operations will closely work with the Development Operations Management, Development Project Managers & Development Function Experts throughout the entire development department, will collaborate with the IT and IS department on projects concerning development information systems and will liaise with the finance and legal department concerning transactional process management. When taking up more responsibilities, you can act as a project manager to improve the different transactional processes, collaborating with the different partners in the organisation.
